Position Summary:

Provides administrative support for the Executive Director, staff and board activities. by performing the following duties. 

 

Essential Duties and Responsibilities include the following.

·          Plans, coordinates, and implements special events and activities.

·          Uses office business applications/software and desktop publishing software to create and publish documents exemplify a favorable public image for PACE.

·          Greets all incoming visitor in a friendly, professional, hospitable manner.

·          Maintains inventory of operating supplies and ensure efficient operation of office equipment by scheduling repair and service calls.

·          Enters attendance into ETO.

·          Plans and organizes workflow to ensure administrative duties are carried out daily.

·          Purchases supplies for daily use and for special events as directed by supervisor.

·          Supports daily schedule of activities before, during and after all events.

·          Records and distributes minutes of Board of Director meetings.

·          Processes all vendor invoices in accordance to Finance Policies and Procedures.

·          Ensures credit card receipts are submitted in accordance to Finance Policies and Procedures.

·          Process the National School Lunch Program paperwork (center specific).

·          Acts as systems administrator for online Time and Labor processing of payroll.

·          Uses eTapestry to process donations and codes and completes appropriate forms and submits to Administrative Office in accordance to Finance Policies and Procedures.

·          Assumes daily activities for Program Assistant in their absence.

·          Ensures timely processing of incoming and outgoing mail.

·          Assists in training other clerical staff as assigned.

Requirements

Education and/or Experience and Technical Skills:

·         High School Degree or GED required.

·          Minimum one-year experience in an office environment required.

·          Proficiency in computer skills, database management and/or office software such as MS Word, Excel, Access database software; calculators and other office equipment is required.

·          Current Florida driver’s license required

·          Minimum 1-year supervisory experience is preferred.

 

Other Requirements:

·         Must adhere to Agency Values and Principles.

·         Upholds the ethical standards of the Agency.

·         Follows policies and procedures of the Agency.

·         Must work evenings and weekends as required to fulfill workload requirements.

·         Must be able to travel by automobile, plane, train, etc.; occasional overnight travel may be required.
