Description Position Overview: This position is responsible for providing critical support to the overall operation of the center and program by performing the following duties:
Role and Responsibilities
• Prepares preliminary annual budgets and adhere to guidelines (center specific).
• Manages the outcome measures, financial reports and meets with contract managers to ensure compliance.
• Process the National School Lunch Program paperwork (center specific).
• Ensures all contracts for building maintenance, consultants and center contracts are in compliance.
• Processes all vendor invoices in accordance to Finance Policies and Procedures
• Ensures compliance with all safety standards and regulations.
• Manages existing resources to maximize efficiency.
• Educates staff and girls on proper internet usage and PACE policy utilizing the best practice for the local center.
• Ensures the center website is accurate and maintained.
• Provides first level technical support for center staff.
• Maintains and secures computer networks and coordinates with outside providers for other essential services.
• Creates, prepares and maintains reports, newsletters and/or documents as directed by the Executive Director.
• Develops public relations materials and disseminates.
• Creates communications to both internal and external constituencies.
• Provides Center Board Scheduling and meetings set-up
• Attends board and/or committee meetings keep board apprised of board engagement.
• Records and distributes minutes of Board of Director meetings
• Researches, writes and manages grants
• Uses eTapestry to process donations and codes and completes appropriate forms and submits to Administrative Office in accordance to Finance Policies and Procedures.
• Performs donor relations to maximize cultivation and stewardship.
• Communicates with volunteers in a manner that engages volunteers and supports the program growth and development (center specific).
• Advocates for and represents the PACE program within the community.
• Designs, educates and implement special events for the Center in conjunction with other center staff.
• Hires, makes recommendation for hire, trains and evaluates direct reports (center specific).
• Is the Ambassador for the Miami Center to ensure all relevant documentation is completed, processed and approved for new hires
• Manages the QAR Process to ensure the Center is compliant
Requirements Qualifications and Education Requirements
Required
• Bachelor’s Degree from a four-year College or University. Major in Business Administration, Social Services, Education, and Communications or a related field or equivalent experience
• Minimum three years experience in managing tasks/projects in a development, fundraising, communications and special events/projects environment
• Strong presentation and writing skills are a must.
• Proficiency in computer skills, database management and office software
• Current Florida driver’s license
Other Requirements
• Must adhere to Agency Values and Principles.
• Upholds the ethical standards of the Agency and 6B-1.001 Code of Ethics of the Education Profession in Florida.
• Follows policies and procedures of the Agency
• Must work evenings and weekends as required to fulfill workload requirements.
• Must be able to travel by automobile, plane, train, etc.; occasional overnight travel may be required
Preferred
• Minimum six months experience in a youth serving program
