Executive Assistant – Development

Under immediate supervision of the Vice President for Development, the Executive Assistant provides high-level administrative support for the Executive Vice President, Vice President and, on occasion, to the President & CEO’s suite all in a donor-centered fundraising environment for both the 501c3 and 501c4 entities. The Executive Assistant of Development is an advocate in implementing our mission of “Affirming the human right to reproductive health and freedom.” Perform other related duties as assigned.

Responsibilities include, but are not limited to:

Administrative Support

  • Provide high-level administrative and logistical support to the Executive Vice President, Vice President and, on occasion, to the President & CEO suite
  • Coordinate scheduling, rosters, logistics, and communication
  • Coordinate special projects and meetings
  • Use Raiser’s Edge to track and report on donor activity for the EVP, VP, and the CEO
  • Work closely with CEO’s office to coordinate CEO efforts in major gift and development work
  • Provide support for major gift work including donor calls, travel arrangements, and preparation of donor profiles and other visit materials

Special Campaign Support

  • Provide high-level administrative and logistical support in our special fundraising
  • Organize committee meetings and provide logistical support
  • Work with Development Operations to run and update all reports regarding the Campaign

Department Support

  • Provide support to the Development department as needed
  • Assist with department activities and events as needed
  • Coordinate scheduling for department team meetings
  • Oversee Development volunteer committee including tracking volunteer hours
  • Process department’s monthly expenses


  • Supports, cooperates with, and implements specific procedures and programs for: safety and security, confidentiality, quality assurance, compliance with current laws and regulations including HIPAA and mandated reporting, and training
  • Supports and participates in:
    • Common teamwork; Cooperates and works together with all co-workers
    • Uses tactful, appropriate communications in sensitive and emotional situations demonstrating compassion, empathy and dignity for all
    • Follows up as appropriate with supervisor, co-workers and customers regarding reported complaints, problems and concerns
    • Promotes positive public image and relations of PPNCS
    • Completes requirements for acceptable attendance and timeliness to work, uniform and dress codes including personal hygiene, and other work duties as assigned.

Work Hours

Work Hours:
Full-time, 40 hours/week.
This position is eligible for a comprehensive benefits package, including medical, dental, vision, flex accounts, long-term disability, life insurance, PTO, extended illness leave, volunteer time off, paid holidays, and 403(b) retirement plan.


Required Qualifications

  • Experience providing support to high-level executives and multiple staff members
  • Two-year college degree or equivalent work experience

Preferred Qualifications

  • Fundraising and/or non-profit work experience
  • Raiser’s Edge or other development database experience
  • Successful track record working with volunteers

Knowledge, Skills and Abilities

  • Ability to successfully prioritize and manage numerous tasks in a fast-paced environment
  • Excellent organizational skills
  • Knowledge of Microsoft office
  • Ability to generate professional-quality correspondence and other documents using Microsoft Word and Excel
  • Excellent verbal and written communication skills
  • Ability to work independently and as part of a team
  • Ability to deal sensitively with confidential information
  • Ability to work with customers from diverse backgrounds and create a positive environment that demonstrates PPNCS commitment to diversity
  • Willingness to work with volunteers
