Akcea is looking for a stellar European Executive Assistant who will be responsible for the administrative support to the European Leadership team (Head of Region Europe, Country General Managers) and the organizational management of the office. The ideal candidate will be experienced in handling a wide range of administrative support related tasks, will be exceedingly well organized and flexible, and will enjoy the administrative challenges of a growing company with a focus on patient impact and creating value for shareholders.  This individual must be able to function effectively in a variety of roles within a dynamic, fast-paced environment.



The successful candidate will report to the Head of Region Europe and will directly support key senior managers as well as be responsible for general office management. The European Executive Assistant will be a key member of the team to ensure the European Leadership team’s demanding schedules, conflicting priorities and communication are managed effectively.  The candidate will organize and streamline operations to ensure optimal effectiveness of the team and office.  The position will offer the ability to work closely with an experienced biotech team, as well as to form a close partnership with team members at Ionis Pharmaceuticals Inc., during the development and formation of the company


You will be performing administrative duties for executive management, including screening calls; managing calendars; planning and scheduling meetings; planning and effectively implementing events; raising PO’s, preparing reports and financial data; and facilitating customer relations, arranging complex and detailed travel plans, itineraries, and agendas as well as compiling documents for travel-related meetings and providing extra support for HR functions and activities



  • Assist and support the Head of Europe, the Pan EU team and the Country General Managers with their daily schedule and duties, to include heavy calendar management, prioritizing commitments, and travel arrangements (planning itineraries, developing agendas, meeting materials and reporting expenses, etc.)
  • Prepare and process monthly expense reports
  • Maintain paper and online records and define procedures for retention, protection, retrieval, transfer and disposal
  • Arrange meetings and set up video/conference calls (including coordinating all meeting logistics, developing agendas and meeting materials, etc.)
  • Receive and interact with visitors
  • Help coordinate candidate interview schedules and travel needs
  • Manage and treat highly confidential information professionally and in accordance with expectation of executives
  • Liaise with Ionis Legal Department to facilitate various legal files including Confidentiality Agreements, Consulting and Service Agreements as well as Statements of Work for various vendors
  • Work with Finance to properly code and track vendor payments as well as raising POs
  • Enter and process approved payments, reconcile invoices and ensure appropriate coding for financial tracking (PO/AP)
  • Maintain and update the Team Congress Tracker (coordinate and manage details, travel logistics, hotel blocks, etc.)
    • Participate in bi-weekly planning meetings
    • Coordination of the Medical Information Booth and Table Top Exhibits including securing the booth space, insurance as needed, supplies and shipment
    • Help to manage sponsorship assets
    • Assist with hotel blocks and group registrations
  • Perform general office/facilities management duties to include:
    • Maintain meeting areas and conference rooms, ensure equipment is functioning properly
    • Manage catering or events as required for lunches.
    • Maintain facilities and equipment by assisting with procurement and routine maintenance and upkeep
  • Work closely with our Global employees
  • Other duties as assigned



  • Successful candidate will have 5+ years of experience supporting senior executives, specifically in a fast-paced, growing environment
  • Biotech experience preferred, yet not required
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Team player, who fosters collaboration and thrives in a fast-paced environment
  • Strong verbal and written communication skills
  • A tenacious yet flexible problem-solver with an ability to manage complex tasks and prioritize competing demands in order to meet deadlines
  • Able to manage the activities and schedules of multiple executives with little or no supervision and maintain strict confidentiality
