Description Part Time position. Provides general office support, performing a variety of administrative and office support activities to facilitate the efficient operation of the organization, department, and/or assigned location. Duties may vary by assigned department/location.
PRINCIPAL DUTIES AND RESPONSIBILITIES
• Answers, screens and transfers inbound phone calls (where applicable). Takes phone messages as needed, and provides callers with information as appropriate.
• May monitor incoming faxes and forwards to recipient.
• May send outgoing faxes for assigned department/location.
• May receive, sort, and forward incoming mail; collect and post outgoing mail.
• May coordinate the pick-up and delivery of express mail services (Fed Ex, UPS, etc.).
• Assists with and/or performs clerical duties such as photocopying, faxing, filing, and collating.
• May prepare and modify documents, including correspondence, reports, drafts, memos and emails.
• May prepare review and/or enrollment packet materials.
• May coordinate room reservations for staff meetings in assigned department/location.
• May assist in and/or perform the ordering, receiving, stocking, and distribution of office supplies for assigned department/location.
• Performs scanning/attaching tasks.
• May maintain spreadsheets for various purposes as needed.
• May act as the main contact for equipment service needs in assigned department/location.
• May provide car rental assistance to staff of assigned department/location.
• Provides administrative support for organizational/departmental projects and operations.
• May handle call overflow from other CCCW office locations.
• Provides back-up to other Operational Support Specialist (OSS) and administrative positions within the organization as needed.
Requirements Requires a minimum of a High School diploma or the equivalent, with a minimum of six months to one year of relevant administrative/clerical experience or training; or any combination of education and experience which provides the necessary knowledge, abilities, and skills. Requires skill in writing clearly and understandably, typing, word processing and data entry, and operation of computer systems and peripherals. Requires ability to establish and maintain good working relationships with others, follow oral and written instructions, work effectively under pressure and time deadlines, propose reasonable solutions to problems, make logical decisions, carry out decisions made, follow up with feedback where appropriate, and work independently or as part of a team.
