Description OVERVIEW:

• Works under general supervision.
• Develops, defines and analyzes solutions to documentation requirements.
• Coordinates the implementation of established documentation procedures.
• Creates and maintains project filing system; maintains project-related databases.
• Receives, processes, monitors, distributes and expedites internal and external distribution of engineering and supplier documentation, including all forms of media (paper, electronic, etc.).
• Experience Requirements:
• Experience with scanning and indexing of technical documents is required. Experience with Electronic Document Management Systems (EDMS) is required.
• One year experience using any of Company Document Control Systems or three years of related experience. Has some experience in project start-up activities and/or project closeout activities relating to technical data.

MAJOR DUTIES AND RESPONSIBILITIES:

• Working knowledge of Microsoft Office suite of applications, including Word, Excel, and some PowerPoint is recommended.
• Proficient typing skills.
• Making customers and their needs a primary focus of one's actions; developing and sustaining productive customer relationships while meeting the company's needs.
• Clearly conveying information and ideas through a variety of media to individuals or groups in a manner that engages the audience and helps them understand and retain the message.
• Monitoring the results of delegations, assignments, or projects, considering the skills, knowledge, and experience of the assigned individual and the characteristics of the assignment or project. (This competency applies to supervisory positions.)
• Setting up ongoing procedures to collect and review information needed to manage an organization or ongoing activities within it.
• Taking prompt action to accomplish objectives; taking action to achieve goals beyond what is required; being proactive.
• Interacting with others in a way that gives them confidence in one's intentions and those of the organization.

MINIMUM QUALIFICATIONS REQUIRED:

• High school or equivalent.
• Experience with scanning and indexing of technical documents is required.
• Some experience using any of Company Document Control Systems or two to three years of related experience
SUPERVISORY RESPONSIBILITIES:
Leads one or more associates performing similar work. Allocates and monitors the work of others. Trains and/or provides advice/guidance to lower level positions.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
• Communication Skills - Day-to-day communications with other Company associates. Uses existing form letters and prepared examples, and fills out forms.

• Creativity/Innovation – Produces original work using standard procedures or methods. May develop ideas resulting in improvements to existing methods, products, or service.

• Teamwork Skills - Frequent coordination, communication, and/or team problem solving within the project/group for work production or service quality.

• Project Team - Participates in project teams. Average duration of a project is six months to one year. May work on more than one project at one time.

• Work Planning - Plans work for the position only.

• Problem Solving - Problems are generally defined, but additional information is required to make appropriate decisions affecting other projects/groups. There is some latitude in decision making, but decisions are reviewed by supervisor.

• Customer/Vendor Contact – Occasional customer/vendor contact is required for this job to provide general assistance and give or receive information.

• Knowledge/Skills – Understands and uses the fundamental concepts, practices and procedures of a particular field of specialization. Must be able to perform tasks that are varied and that may be somewhat difficult in nature, but usually involves limited responsibility, such as accurately reading and interpreting drawings, performing geometric, trigonometric, or basic mathematical calculations. Requires operating knowledge of, and familiarity with, electronic or computer equipment.
