We currently have a full-time opening for an Event Planner at our Headquarters in Carlsbad, CA.  If you are looking for a fast paced environment where you can make a difference every day, then this is the opportunity for you!  This position is responsible for the regional tradeshow program and all small events across business lines from conception to budget reconciliation (90-100 events, annually).  The event planner/coordinator assists Event Managers with the planning and execution of large scale events and national tradeshows, coordinates small tradeshows logistics and budgets, and works cross-functionally to define and reach event goals, messaging, and audience.

Your day will be very busy… you will:

  • Manage all logistical components of the small tradeshow and events program
    • Selecting booths, coordinating shipment of products and booth collateral, communicating with booth vendor, arranging booth staffing, securing sleeping rooms, and placing orders for all show logistics.
  • Create and manage a tracking process for all pre-show logistics, including exhibit space, exhibit rentals, utilities, shipping, etc.
  • Collaborate with booth vendor to coordinate inventory and shipments of booth properties, booth graphics, monitors, product samples, and displays.
  • Monitor tradeshow program, respond/improvise/adapt quickly to live-time changes, and imagine/implement/improve processes that facilitate more strategic decisions.
  • Prepare, forecast, and coordinate the tradeshow budget, tracking all expenses for complete financial reconciliation.
  • Communicate logistics, details, and changes to upcoming shows with staff, distributors, and vendors.
  • Maintain corporate event calendar and archive all event planning documents (in events folder).
  • Represent the company by behaving professionally with all internal and external business associates, at all times, reflecting the company positively by being consistent with its policies and practices.

What your background will be:

  • Bachelor’s degree in an applicable field of study and 4+ year’s relevant experience in Corporate Tradeshows and Events or equivalent combination.
  • CMP, CTSM or Event Planning Certification preferred
  • Advanced computer proficiency to include web browser/internet search, MS Outlook, Word, Excel, and Power Point capabilities.  Technical competence includes the ability to learn new software and systems.
  • Proficient in the use of office machinery, telecommunications and web-based tools.
  • Excellent command of the English language, grammar and punctuation.
