Summary:  

Registration Services manages 30+ meetings annually. This position is required to provide phone and email support for all meetings, process faxed and mailed registration forms, prepare attendee registration packets and shipments for meetings where on-site registration services is not required, assist with small local meetings when on-site registration set-up and temp training is required. This position will also be responsible for being the registration services lead on a variety of smaller meetings.  Lead responsibilities include, but are not limited to, online registration website development, production schedule development and management, weekly reporting to internal and external clients, badge and ticket format development, financial reporting and meeting wrap up and report outs.  Other duties as assigned.

Peak times (May - October) may result in 75+ calls, 250+emails and 40+ registration forms daily.

This non-exempt position will report to the Manager, Registration & Travel Services in the Division of Convention and Meetings.

Primary Responsibilities:

  • Provide phone and email support for all meetings.
  • Process faxed and mailed registration forms for all meetings.
  • Prepare attendee registration packets, including but not limited to, badge and ticket printing, assembly, and shipping.
  • ​Assist with on-site registration set-up and temp training, if needed, for small local meetings.
  • Registration Services Lead for smaller meetings as assigned.
  • Other duties as assigned.
Requirements
  • High School diploma or equivalent is required. Associate’s or Bachelor’s degree is preferred.
  • Minimum of 1 year experience serving in an administrative support role strongly preferred.
  • Knowledge of registration database systems is preferred.
  • Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization.
  • Capable of providing excellent customer service.
  • Attention to detail and organizational skills.
  • Must be able to multi-task.
  • Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat.
  • Display high level of energy and thrive in a fast-paced environment.
  • Self-motivated and able to work independently and as a member of a team.
  • Ability to plan and prioritize workload and meet deadlines.
  • Ability to establish strong working relationships with all division teams and management.
  • Experience in Associations, professional services, healthcare, and/or education desired.

Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Normal office environment with long hours in front of the computer.

Other Necessary Requirements: Occasional evening or weekend duties may be required.  Minimal travel for activities such as out of town meetings (once per year) is required.
